Simple Small Business Phone Service For Your Company

By Gerardo Burns
As we all know, telecommunication is an important means to communicate for both big and small businesses. The old analog phone system has proved to be a valuable necessity through the years. But with the fast growing technology of today's generation, a lot of phone services have already surfaced in the market. The new phone provider system nowadays does not only offer a variety of features, but also cheaper costs compared to the old business phone services.

Managing communications efficiently in a business is rather difficult, specially the ones that have branch offices in rural areas. Business owners and operators must provide a reliable business phone system to eliminate the hassles which can be a hindrance to the company. The best solution is to have a virtual telephone service that connects branch offices, multiple departments, clients and also employees anywhere around the world.

This service must also contain a call forwarding feature that enables an office or employee to directly forward calls from a specific caller to a particular person or associate. The number of connections or extensions of telephone lines in your office is not a problem for a small business phone service. You can purchase all the advantages of a standard phone system at an amazingly low rate compared to the old phone service. When making calls, callers may hear warm audio greetings along with automated attendants set up in the system. And if somehow, the user is busy or unavailable, callers have an option to make fax mails, email, or even voice mail just to have their message delivered.

Moreover, choosing a better small business phone service for your company is somehow a little tricky, depending on particular requirements that your business needs and the capacity of your company, as well as the population of employees, plus other factors including budget costs. Thus, before you hurriedly choose a phone service, always consider the factors and questions that come to mind. Is this the perfect service for my business?

Can this service really meet my expectations? Will I get my money's worth? Be sure that all those questions can be answered by the business phone system that you are going to choose for your business. Many service providers offer toll free customer service hotline that is very favorable to customers, especially with concerns regarding business products and packages. This dies not only offer callers the convenience to call anytime of the day, but also boost the loyalty and relationship between your customers and your business.

With all these features, a huge number of customers are sure to flock in your business. And with the easy and user friendly interface provided by many service providers out there today, the use of this kind of phone system will bring more profit to your business. Hence, the assumption that this small business phone service is best for your business could just be right.

Bridging the Gap For Small Business Phone Service

Bridging the Gap For Small Business Phone Service

By Kristopher Cesar Y Peck
A lot of companies-be it small sized company or medium sized company are using a small business phone service system to help them have their requirements met. Telecommunication companies provide services not only to small and medium sized companies, but also to huge companies that have many networks. Over the past few years, business phone services have quite improved technologically. With added features and a much better system compared to the old analog phone system, such services can prove to be very valuable in business. But, for some reasons, small sized businesses do not have the ample amount of resources to purchase these kinds of features in a service. And with the development of Voice over Internet Protocol telephony, the difference between the needs of small businesses and products available on the market seems to expand.

Advanced materials and equipments have been developed through the years, and having it cost lesser has also been one of the primary objectives of the providers in terms of selling their products. In addition to that, reduction of prices for new and better features has been slowly increasing. But still, due to large support and efficiency for some business phone system that has all the features, small business phone service companies can barely afford these kinds of features/services. Compared to other office gadgets or equipments, prices of small phone business systems did not change. Many small companies do not have much choice but to create and develop a particular business phone system with custom built telephone lines, answering devices and some other services from an expensive telephone company. Bigger phone systems are by far, more effective and efficient, with features like call answering systems, voice messaging and call forwarding that can greatly increase the proficiency of any company. However, small business phone service companies have been considered the leading industries in the economic growth of a country. Small businesses, like any of its large correspondents, need a more advanced telephone system to be able to grow and excel more as a successful business company.

In the United States, small businesses are still using the conventional single line phone system suitable for small business phone service. Apparently, some phone systems having state of the art technology offers five to twenty phone lines. Recently, many business phone services have surfaced in the market. They offer lots of new service features, some even with network solutions and advanced security system to prevent intrusions in a network. With the present technological advancement that this generation has, it is safe to say that many other features for business phone solutions are being developed right now even as you read this article. It is also safe to assume that much more and better features will come out in the near future. But still, the fact remains that full featured services are just too expensive for a small and growing company.

Business Phone System Buying Guide - The Right Business Telephone System Checklist

Business Phone System Buying Guide - The Right Business Telephone System Checklist

By Al Scillitani

There are so many companies that sell business phone systems, it gets very confusing and even frustrating at times trying to figure out which one to choose.  There are several items you must look for in a business phone system and others that are nice to have.  Below is a breakdown of the most common features, what you should ask when speaking with companies (use a checklist), and a list of phone system definitions.

First and foremost, you are looking for the least expensive complete phone system that works.  Does it matter how it works or why it works, probably not. As long as the phone system can reliably make and receive calls, has the features you need, sounds great, and is the right price most people are not concerned if the system is using traditional phone lines or VOIP (uses the internet rather than traditional phone lines - see definitions below).

First question to ask yourself is how many users you will have. Do you need 1 phone, 2 phones, a conference phone, etc...  You may be able to discuss this with some of the companies and let them give you suggestions on set up and usage.

You will also need to know which features are must haves and which ones are just nice to have.  For example, if you are a business with only 1 or 2 employees, it may be more important to you to have an auto-attendant to answer the phone when you are not there and call forwarding for when you are on the road.  Voice to text transcription is becoming more and more popular. Some are charging extra for this service, so make sure you ask if this is a needed feature.

Once you have your list of users and features, you are ready to start contacting phone companies to see what they offer and prices.

Name of phone company:
Website:
Phone Number:
Date:
Cost: What is the cost per user?

If you are planning to higher more people within the next year, ask about adding users as well. Make sure the system is scalable.

Is there a contract or is it month to month?

Does the plan include any phone numbers? Local numbers? Toll Free numbers?

Does the plan include unlimited local and long distance?

If you will be calling internationally, you will want to ask about that as well.

I need features "x" "y" and "z" are they included in the price?

List of Features - do not forget to ask if it is free and unlimited, free with limits, or immediate costs per use:

Voicemail

Auto Attendant

Call Forwarding

Conferencing

Voice to text

Ability to create Groups

What additional free features do you offer?

How easy is it to manage the phone system? If I want to add a user, what would the steps be?

Do you offer customer support?  Where is the company and support located?

Do you have any testimonials or references I can contact?

Do you sell business phones? If so, what are the prices and can I buy them elsewhere if I would like?

Getting Small Business Phone Service Advantage

Getting Small Business Phone Service Advantage

By Kristopher Cesar Y Peck
Companies of all sizes are taking advantage of small business phone service systems to in meeting their operating requirements. Telecommunication companies offer services to small and medium sized enterprises, as well as to large companies having many networks. For the past few years, these services improved significantly. With additional features and better service system compared to the analog phone system, this kind of service proves to be highly valuable to a business. Unfortunately, small-sized businesses hardly have the money to obtain resources for these types of features in a phone system. With the development of VoIP telephony, the needs of small businesses of the products available in the market suitable for them have expanded. Many businesses are reevaluating their business phone services and are considering new ways to gain competitive advantage. For this reason, the small business phone service proves to be very efficient in service and in cost. It is normally assessed based on three criteria: capital expense, operating costs and service features.

Businesses worldwide always like to do more with less. They continue to adopt efficient means for the existing systems and demand more cost-effective and innovative solutions for their phone service. Advanced equipments and modern features have been developed and many of them are designed to cost less. This is one of the chief objectives of the service providers in selling their products/services. Moreover, reducing the prices for the new features is slowly increasing. But, because of the efficiency and large support for some phone systems that have all the new and better features, small business phone service companies hardly afford the new kinds of services. Hence, most of the prices of small phone business systems barely change. A number of small companies can only do as far as creating and developing a particular phone system with customized telephone lines, answering devices, and other services offered by a large telephone company. Apparently, higher phone systems with higher features and better capacity are more efficient and effective. They contain features like call voice messaging, answering systems and call forwarding that can significantly increase the competence of a company. However, small business phone services are somehow the leading industries suitable to a broad number of enterprises and thus aid in the economic growth. Small businesses need more advanced telephone systems in order to grow and prosper as an independent company.

In deciding the quality of your small business phone service, look into the features contained and whether they are offered at a reasonable package price. One good feature is an automated answer as this offers a recording system which can be set to attend to callers/customers and respond them with the likely options they may need. This feature is convenient and answers to the immediate needs of customers. It especially comes in handy during busy business hours. It is just like having a personal assistant to do the extra work and at no additional cost. Keep in mind that whatever features you will take for a small business phone service do not overlook the cost and make sure the cost aspect will be suitable and reasonable to your company.

How To Acquire A Simple Small Business Phone Service

By Gerardo Perry T Reyes
A key element in a small business is a small business phone service. And with this sort of service, small-scale business companies will be effective in communicating with business associates and other clients, and can also do other business deals without ever leaving the office. Many small-scale business phone services are offered in packages. They are old with a few handsets, a transmitter and other equipments in accordance with the package.

Many people want to use a wireless telephone as it allows connection to wireless intercoms and let them use the receiver anywhere they are as long it is in the range of the base telephone.

The kind of small business phone service that is applied in businesses is very much similar to that of a phone system at home. What is needed is just a base station that acts as the main phone line, a caller ID and an answering machine. Connecting extra phones or handsets is your option.

Some service providers add up to two extra phones or handsets that are included in their packaged service. But of course this type of system is expandable as you can have additional phones to your system depending on your business communication needs.

Many people these days say that Voice over Internet Protocol is what is best for businesses especially for small ones. VoIP can be an effective small business phone service, depending on how you look at it. Using a handset or a telephone that is connected to the Internet will enable you to make calls anywhere in the world without having to talk to an operator and getting billed.

With this sort of business telephone system, configuration of the process is easy. Just Apply for a standard VoIP account and an Internet connection then buy a router, and that is all there is to it. Imagine calling other contacts for free just by using the Internet. That is what we call efficiency.

Always ask qualified personnel regarding how to install the service package if you do not know how to or cannot understand the provided manual. Choosing the right small business phone service is very critical so make sure you purchase the right service that will suit your needs. An effective small business phone service will help you with communication difficulties.

Some small-scale business phone services are being offered by other providers with added features. Obviously, small-scale business companies will really profit from this kind of service. It can be a valuable necessity for business companies, and with its cheaper cost, acquiring a small business phone service for your business is not that hard to achieve. Who knows maybe just by having a small business phone service is what you have been missing.

How To Find The Right Small Business Phone System For Your Company

By Chris A. Harmen
When starting a small business, choosing the right phone system can either help the company succeed or contribute to its failure. Costs, functionality, ease of set up, and other factors should be considered. Compare business phone systems in order to select the best match for a particular workplace.

Automated Attendant

First impressions are crucial for a small company. Customers want to receive information in a professional, courteous manner when they call. If they have to go through too many automated options or must repeat themselves many times because the system didn't understand their words, they will likely get frustrated and call another service provider. Compare business phone systems to receive the best automated attendant services. Also known as a virtual receptionist, this function allows callers to be transferred to a particular extension without the necessity of an operator or a receptionist. A caller will hear the recorded greeting first, and then be prompted to make the correct selection to talk to the desired person. However, some systems do allow a caller to talk to a live operator by selecting '0' or another number. Many small business phone systems include a simple menu such as, 'For sales, press 1, for service, press 2.' Most providers include the automated attendant in their services at no additional cost.

Simple Set-up

Another important factor remains to be the complexity of set up. Entrepreneurs and executives hold their time as form of commodity and do not want to waste it. Making a profit is not achieved by waiting for hours or even days for a technician to come and install a small business phone system. Looking for providers that offer simple set up without any additional hardware needed will save lots of time and money.

Many small business phone system vendors allow managers to buy online with easy, secure purchasing. Followed by a set up that takes just a few minutes, these types of services can increase productivity very quickly without hassle or complicated steps.

Free Trials

To compare business phone systems, take advantage of many companies' free trials. Some of these offers let a user practice with the system for a limited time, while others maintain the trial for as long as needed. Trying before buying provides a way for potential customers to make sure the system is easy to use and that it offers all the features their company requires.

Included Features Or Extra Add-ons

Office telephone systems can come with virtually hundreds of features for switching calls and directing traffic. However, some companies only need a few of the features, but don't want to have to pay an additional fee for each feature they add to a basic plan. Some of the most common aspects of a small business phone system include voice mail, music while on hold, and conferencing. Shop around and compare business phone systems to locate a vendor that charges a low monthly fee without any extra costs for features. This will enable you to avoid a large surprise bill at the end of the month.

Simple To Use

No one wants to deal with the hassle of a small business phone system that requires hours of training or days of being on hold with a help-desk associate because the software is too complicated. Compare business phone systems to find one that functions similar to a Web 2.0 style browser-based interface. These services tend to be as easy to use as email. Managing these types of systems also allows a manager to add and remove users in seconds. Also, many of these products work seamlessly with multiple types of supported phones, such as a desk, mobile, or softphone on a laptop.

Voicemail To Text

Imagine how much time could be spared, if voicemail could be read instead of listened to again and again. Some small business phone systems offer voicemail-to-text transcription to make this a reality. The system answers the call by forwarding all voicemail to the user's email account as an attached audio file with a written transcription of the message.

Additional Useful Features

Other facets to look for in a small business phone system are intelligent call routing, unlimited long distance service, and web widgets that allow customers to click on the company's web page to automatically call the correct person. These features ensure that office executives will never miss another call while away from the office. They also don't incur additional fees with plans offered by some providers.

Deciphering Your Business Phone System Options: The PBX System

By Mark Etinger
When starting a new business, there are many tasks running through your mind and you may forget one of the most important decisions, choosing a business phone system. If your business has decided to go with a PBX phone system, you may be surprised to learn there are actually several types of PBX systems. Learn about the advantages and choose which hosted phone system will benefit you the most.

-First, there is your simple PBX phone. A PBX, or private branch eXchange, is a privately owned phone system for handling multiple phone lines and routing calls. Depending on the services you need, it can be costly or rather cheap. Typical features include call forwarding, voice mail, caller ID, and conferencing. With the huge rise in VoIP phones, traditional PBX phones are being used less because they are harder to install and need to be connected to a land line. However, they remain a very stable option and are favored by medium to large-sized businesses.

-The next type of phone system is a hosted or virtual PBX phone. Users can receive and manage calls through one main phone number with a virtual PBX phone. The main difference of this phone is that users can manage calls through the Internet. There is no need to pay for extra hardware. Simply log on and choose how to set up your system. Basic features include redirecting calls to mobile phones, home phones, or faxes, online voicemail, online call logs, and dial-by-name directories. Businesses will save money with reduced costs without having to skimp on features and flexibility. While a PBX may be better for larger corporations, hosted PBX phones are great for every type of business, no matter the size.

-In order to compete with the growing VoIP market, there is VoIP PBX, also known as IP PBX. This hosted phone system brings the benefits of both worlds together. Costs are greatly reduced since there is no extra hardware to install. Phones can be connected to a computer port, rather than deal with wires. Like a virtual PBX, you can manage your system online. Just install software and you're ready to start taking calls. Computer software allows for more features to be added. Caller information can be brought up on the computer which will improve customer service. Low costs means it's affordable for small and large companies.

-The last type of business phone system is a hosted or virtual IP PBX. A virtual IP PBX system is ideal for small to mid-size businesses because the equipment is held and maintained by your service provider. There is no need to pay for installing and maintaining extra equipment. All the same great features and benefits are offered as with the other systems.

Cost and functionality should be your main factors when deciding which to choose, especially if you're a small business. PBX phones that combine the power and flexibility of VoIP are your best option, no matter what your size. Make the right call to set up your business phone system today.

Business Phone Answering Service

By Alif Arselan
A designated secretary can handle phone calls by herself but at one point, the whole office will benefit from a business phone answering service. As your business grows, clients will be calling at off-peak hours or during times when no one is available to answer. There are office hours that clients should respect but it would boost your business if your client knows that you have a customer service line that's reachable anytime. This will boost sales and productivity, two must-haves in business. These services are necessary in handling the endless calls that come in at unpredictable times of the day, and even at night.
A business phone answering service is more personal than a voice mail or pre-recorded voice because the needs of the customers are addressed directly and immediately. A phone call can be redirected to a business phone answering service line if no one picks up your office line. The phone answering provider will then receive the messages given by your customer and forward them to you when you are available. In essence, it acts as a secretary when you are not available. A business phone answering service with bilingual representatives is a plus, especially if your product caters to multiple nationalities. After-hours answering services are also a plus if you can afford it and if your business is growing big. If your customers come from different parts of the world, your clients will be calling in at different times. Nothing is worse than being greeted by a non-responsive, pre-recorded message.

Business phone systems for bigger companies offer inbound sales call services that are designed to educate your customers of your latest product offerings that may complement the services that they are using. Good answering services providers will train their representatives to comprehensively explain your product offerings and answer any questions that your customers may throw along the way.
The gauge of an excellent business phone system is its willingness to match your mindset of being "customer-oriented", or even exceed it. They must be able to provide your services, as if it was really your company that was providing the service at that time. Your customer must not feel that your phone system is handled by another party. The provider's representatives must be courteous, polite, and patient with your customer's inquiries and needs.

A business answering service is an investment but it must not burden you with its heavy costs. Choose a provider that offers you many packages that you can choose from. It would be better if the business phone answering service can customize your package so you can do away with services that you don't need. The provider must be patient enough to learn your system and the way you want your customers to be handled. They must not impose on you. If they find better ways of addressing their customers, they should bring it up immediately. Constant communication with your provider is very essential in improving your phone system. Nowadays, telecommunication etiquette can make or break your sales and productivity.

How Smart Small Business Phone Plans Help Create A Fortune 500 Phone Presence For Small Firms

By Chris A. Harmen
During an economic downturn, companies need every edge they can get just to keep from shutting down. Businesses with only a few employees often feel that they can't compete with Fortune 500 companies. However, with today's technology, that is no longer true. Certain small business phone plans actually give companies such a professional appearance that many customers have no idea there are only three people working in the office. With features like intelligent call routing, auto attendant, and conferencing, a tiny organization can seem like a superpower. To compare business phone systems, it's vital to see which ones will really set a corporation apart from the competition.

Auto Attendants: Transform A Small Company Into A Big One

When beginning a brand new organization, an owner usually has to start with a few staff members and a tiny office building. But so many technological advances have now made it possible for even the newest company to avoid suffering from bad customer service. It can be devastating for a little or fledgling company to appear tiny to its customers, especially if people call in and can't get answers or aren't directed to the right person. The way a corporation handles phone calls can make or break it. Phone plans that include automated attendants can alleviate that issue since they offer a professional sounding system that lets a customer feel they are contacting a legitimate business instead of a fly-by-night operation out of someone's basement.

A chief executive officer should consider if the business phone system they choose allows them to easily configure auto attendants. When a potential client attempts to reach the clothing department they don't want to get the children's department instead; especially after pushing the number they were told to on the recording. Fast, efficient service plays a key part when it comes to small business phone plans. To sound even more professional, business owners should consider hiring voice talent to record the auto attendant greeting. This usually doesn't cost a lot and will offer even more of a Fortune 500 presence.

Small Business Phone Plans With Intelligent Call Routing Lead To Success

As company owners compare business phone systems, they should also make sure that call routing is fast and efficient with the small business phone plans they are considering. This feature tells clients that a company is serious about communication, no matter if they are a huge corporation or a tiny group of people just starting out. Companies with few staff members can utilize intelligent call routing to appear as if they are employing a whole army of individuals to work for them. While even new companies can do an amazing job, size does tend to play a part in whether customers have confidence in the corporation or not. Small business phone plans that come with intelligent call routing allow a client to reach the person they desire to talk to the first time and within seconds. Instead of being transferred from person to person for minutes or hours, this benefit gets customers connected right away, which increases their trust and loyalty to a particular organization.

With some phone plans, users have the option to have calls routed to a user or group. Normally, the manager sets up a line for a specific user to have their own dedicated number so that when calls come in to that number, they go directly to that user. Some business phone plans offer call routing to other devices which allows one phone number to reach you on your office, mobile or even home phone. An alternative method of call routing involves setting up a group of people so that each person in the group is automatically called, one at a time, in the order the boss determined. This prevents a person from not getting their call answered at all.

Conferencing Expands A Tiny Company's Work Force

Another feature that can help a tiny business appear larger is conferencing. The Internet has allowed people from all over the world to work with and for each other for years. With certain small business phone plans, that option becomes even easier. For a corporation that can't afford to hire a lot of employees to remain on staff all year long, conferencing allows them to utilize freelance staff members only when they are required. To compare business phone systems, it's crucial to not overlook this important aspect that allows a customer to have several experts handling their job at one time from all over the country or world, without them realizing they aren't all in the same office building at that moment. Some plans include conferencing and others have an add-on charge.

Chris Harmen is a writer for Phonebooth, providers of high quality small business phone plans. She explains that to compare business phone systems, a small company must consider ones that offer features that give it a Fortune 500 presence.

3 Reasons The Cheapest Mobile Phone Plan May Not Be The Best Option For Your Business Phone Plans

By Hamish Jones
Sometimes it is easy to think that you should just sign up to the cheapest mobile phone plan. Working in the telecommunications industry i have seen this over and over again. No matter how many times I tell a customer or prospective customer that these plans won't suit them, there are always people who think that they know better. And, like clock work, they are always ringing me back when they get their first bill complaining that their bill is too high.
