Even allowing for the rise of the Internet and electronic methods of communication, the telephone is still, by far, the fastest and easiest method by which a business can contact its customers, and vice versa. A business phone system should be large and flexible enough to cope with the anticipated volume of incoming - and, indeed, outgoing - calls, and to direct incoming calls appropriately, without baffling or disconnecting your customers. A business telephone system is effectively the lifeline of a business, and, as such, is the choice of an appropriate system is one of the most important purchasing decisions that a business can make.

Business Phone Systems

The business phone system known as a PBX, or Private Branch eXchange, is a popular solution for businesses with 40 extensions, or more, and/or advanced telecommunications requirements. A PBX business phone system allows the flow of incoming and outgoing calls to be managed effectively, typically with a direct line for each extension, the possibility of internal calls between extensions and straightforward call transfer. Other features may include a voice mailbox for each extension, an automatic switchboard, or auto attendant - which allows a caller to be connected to a department, or function, of his, or her, choice - and hold music. The flexibility of a PBX system does come at a premium, when compared to some other business phone systems, but technological advances mean that powerful, compact PBX systems are not as expensive as they once were.

At the other end of the spectrum - that is, for businesses with 10 employees, or fewer - key systems, or KSU-less systems, provide a cost-effective business phone solution. A KSU, or Key Service Unit, is a control switch providing call routing and transfer features, etc., but some systems do away with a large centralised unit, incorporating technology into individual phones instead. This means that a fully featured, multiple extension, system can configured using existing RJ-14, or R-11 jacks, and existing telephone wiring.

This latter type of system lends itself well to the integration of corded and cordless phones in the workplace. Cordless phones are not physically connected to a base unit, and so allow mobile workers - warehouse operatives, and the like - to roam freely, provided that they are within range (typically 150', or so) of a base station. Cordless phone handsets are typically lightweight, offer a battery life of between 4 and 8 hours on a single charge, and include features such as speed dialling. The quality of the sound provided by a cordless phone system may not always be quite as good as that provided by a corded system, but the latest 5.8GHz and DECT (Digital Enhanced Cordless Telecommunications) cordless phones operate in dedicated frequency bands, free from interference from WiFi wireless networking devices, and other electronic devices.

In this day and age many small businesses are operated from a home office. This setup has benefits that include a short commute, working in your sweat pants and very low overhead. All you really need are the basics; an internet connection, a computer and a phone. Sounds good, I'm in!

But the dilemma for me was how do I maintain a home phone and a business phone without co-mingling them?

Initially my solution included: 

a home phone number
an office number
a dedicated fax number
a mobile (cell) phone
Great, problem solved!

Well, until I realized the phone bills were mounting and only one of the four numbers was getting any action.

Hmmmn, time for a new solution.

What I discovered, is a home business phone service can come in many varieties. Whether you base your requirements on price or features. Unfortunately, there's no such thing as a one size fits all solution. What works for me in my business may not work, so well, for you.

Here are 7 things my small business phone service can do: 

Allow me to choose the number. The number can be in or out of my area code and I can keep trying combination's to score a vanity number. At any point in time I can change my number without any charges, hassle or drama.
2. Ring on multiple phones. Finally one number that can ring everywhere I am with no limits on the amount of possible phone numbers. On vacation. At a friend's house. Long hospital visits. This feature is amazing! For certain people or groups I can set it to ring on one number or all numbers. I can set specific days and/or times for the phone to ring or not.
Provide voicemail transcripts. When a message is left a voicemail transcript is created then emailed. Great, if I'm in a meeting I can check my voice mail simply by reading the transcript. No dialing or using cell phone minutes.
4. Create custom greetings. I can create custom greetings for a specific person, groups of people and a general greeting for random callers. I can create as many greetings as I have contacts they all work at the same time.
SMS text messaging. I can send and receive SMS text messages. These messages can be sent to one person or multiple people at the same time.
6. Transfer a call. Not your ordinary call transfer, an uninterrupted transfer. Let me explain, say I'm in the car on my cell then I reach my office, with the push of a button the call will be transferred from my cell to the landline so I can just keep talking. NICE!
Generate website widgets. This is the one of the coolest features. I can create call widgets to add to my website and blog. This will allow people to call directly from the website without them incurring any long distances charges. These widgets can be set to ring all my phones, none of the phones or a completely different number like an answering service. Or I can leave a voice message with specific instructions. I can add a different widget for each page or product with a different call to action message.
The seven things (they have plenty more) I described are all features of the free service Google Voice. Since I started using it, I was able to reduce my bill by getting rid of two phone numbers. Yippy, once again I have struck Google Gold! This is the small business phone service that has worked best for me.

Now don't get me wrong Google Voice is not perfect. As a matter of fact there are some issues with Goggle blocking calls to and from certain numbers. In addition, I have created a "wish list" of services I am hoping they will include: 

ability to receive a fax
ability to port an existing number
lower international calling rates
apps for other smartphones (they have them for an iPhone, Blackberry and Droid)

Many businesses are now considering moving their business phone systems to VOIP. But VOIP phone systems are very different from the traditional phone services you are used to. Consider this:

When you buy traditional phone service from the "phone company", they run a set of copper wires from their central office to your facility. If you need to have more than one phone call going at a time, you will need multiple pairs of copper. The phone company assigns a phone number to that line, one of a limited number that are available to that central office. (In other words, if your phone central office is in Elk City and you want an Oakville phone number, it's a major issue and is going to cost a lot.)

Once the line(s) are wired to your office, you are pretty much on your own. You can either wire the lines to specific phones or you can wire them into some sort of very expensive PBX box that will handle such things as message storage, routing, etc. If you want special features like caller id or centrex switching, expect to pay dearly for it.

In contrast, a VOIP system is totally different. You specify a phone number that you want, which can be local to any city in the US. Instead of running a pair of copper wires to your destination with that number, calls to that number are instead routed to the VOIP company's switch. Phones in your facility are connected to your internet connection and from there connect directly to the VOIP company switch. Since the VOIP company switch is on the internet (with a fixed IP address), your phones can be anywhere an internet connection exists, not just in a single facility.

Since an internet connection is a high bandwidth connection, more than one call can be connected without additional wiring. Hundreds of simultaneous calls can be maintained on a single internet connection. (For the technically minded, each phone call consumes about 100k of your bandwidth.)

When a call comes in on your number, the VOIP switch is programmed to answer with a pre-recorded message (which may or may not include routing choices to be selected by the caller) and then to ring to certain extensions or combination of extensions (the actual phones in your facility). The VOIP switch can also be set up to forward calls to your home phone, cell phone, anywhere.

Once the call is answered by one of the phones in your office, that phone can also perform any of a number of cammands which send signals directly back to the VOIP switch. These phones can, for example, transfer the call to another extension, conference two or more extensions, conference in an outside call, transfer a call to voice mail, etc, etc. When callers are placed on hold, the VOIP switch can play music or an advertising message of your choice.

VOIP switches also generally provide email notification of voice messages received, so that you can be aware of messages even when you are not in the office.

For outbound calling, office extensions dial any US or Canada number, in the usual format leading with 1 plus area code. This information is sent to the VOIP switch, which places the call through one of its interconnect arrangements. When the call is connected, the VOIP switch joins the extension to the call. All calls are billed at the same rate, whether they are across town or across the country. In other words, no local toll or long distance charges. VOIP service plans for businesses generally provide a fixed limit of calling minutes or unlimited domestic calling. These services may include international calling, usually at an additional cost.

Calls from one extension to another are almost always included in business service plans at no added cost, so that extensions to extension calls do not add to your bill. This presents some additional cast saving advantages should you happen to have employees in widely separated locations. For example, if you are headquartered in Los Angeles and you have a small sales office in Spokane, you can call from headquarters to sale office at no added cost. (With traditional phone service, you could expect to pay by the minute at long distance rates for every one of those calls.)

Most VOIP switches can also arrange for international dial-in numbers in such places as London, Berlin, Shanghai, Hong Kong. Anywhere where you have a significant business presence. These numbers, often a local call to the user, ring into your system just like local numbers.
